Client document request email template: initial request, reminder and replacement

Copy-ready client document request messages for the first ask, one-item reminder, replacement request and received acknowledgement, using a secure upload link and explicit outstanding-item language.

No email gate. Copy the message you need, replace the bracketed fields, and point sensitive documents to your approved secure upload destination rather than asking the client to attach them to ordinary email.

Replacement request

Before sending

Make the client action unambiguous.

Subject line names the client job or period instead of using a vague “documents needed” label

Opening line explains why the requested documents are needed

Each required document is listed as a separate item with enough detail to identify the right file

Due date is stated with the real operational consequence rather than invented urgency

One approved secure upload destination is provided for sensitive files

Reminder names only the items that still require client action

Uploaded-pending-review items are not described as still missing

Replacement request explains what is unsuitable and what corrected file is needed

Received acknowledgement does not imply substantive approval before staff review

Client can ask for clarification when an item is unavailable, unclear or not applicable

Request boundary

“Received” is not the same state as “approved”.

Keep client action separate from staff review. Once the client uploads the requested item, stop describing it as missing. Review may still produce a replacement request, but that should identify the exact file and the reason it cannot be accepted.
