UK packaging EPR supplier data request template: weights, evidence and gaps
A copyable supplier-data request and follow-up structure for packaging components, materials, measured weights, measurement evidence, unknowns and ownership before UK EPR reporting data is frozen.
No email gate. Copy the request fields, message and checklist below. Keep supplier-provided physical facts separate from the producer-side EPR classifications and reporting decisions your organisation still has to own.
Supplier-data register
Record the fact, source and uncertainty together.
Copy these columns into your packaging-data collection tracker. A blank or unknown value should stay visibly unresolved instead of becoming an unexplained estimate.
Supplier legal name | Supplier part number | Your product / SKU | Packaging component | Material | Measured component weight | Unit | Measurement / specification source | Evidence date / version | Known / estimated / unknown | Internal validation result | Follow-up owner / due date
Copy-ready request
Ask for evidence, not “all EPR data”.
Subject: Packaging data request for UK EPR — [PRODUCT / SKU] Hi [SUPPLIER CONTACT], We are updating the packaging evidence used for our UK packaging EPR reporting records for [PRODUCT / SKU / PART NUMBER]. For each packaging component you supply, please provide: - component name and supplier part number; - packaging material / construction; - measured component weight and unit; - the measurement method, specification or other source used for that weight; - the date or version of that evidence; - any requested packaging attribute that is genuinely known and supported by your records. If a value is estimated, unknown or unavailable, please mark it that way rather than substituting an assumed value. Please return the information by [DATE] to [APPROVED ROUTE / LINK]. If any field is unclear, tell us which item needs clarification so we can resolve it before our reporting source file is frozen. Thank you, [NAME / TEAM]
Do not turn supplier uncertainty into false precision.
- [ ] Supplier legal name, supplier part number and affected product/SKU are identified - [ ] Each packaging component is listed separately rather than rolled into an unexplained total - [ ] Packaging material is stated from supplier evidence, with unknown or mixed construction kept explicit - [ ] Measured component weight and unit are recorded without silently converting an estimate into a fact - [ ] Measurement method, specification, scale or other evidence source is named and dated - [ ] Supplier-provided weights and other material facts have a documented validation or challenge step - [ ] Unknown, unavailable and estimated values are visibly distinguished from measured supplier facts - [ ] Internal owner and follow-up date are recorded for every unresolved supplier-data gap - [ ] Producer-side EPR activity, class, type and reporting-code decisions remain separate from the supplier fact request - [ ] Final accepted evidence is versioned and linked before the reporting source file is frozen for preflight
Current GOV.UK methodology guidance expects organisations documenting their collection method to explain how supplier-provided weights and other information are validated, what happens when supplier data cannot be obtained and how coverage will improve.
EPR Preflight does not contact suppliers, invent missing packaging facts, decide legal responsibility, perform a RAM assessment from absent evidence, submit to the Report packaging data service or provide regulator approval.
